Tailor Management System (SaaS)

A complete management system for a bespoke tailoring business: customers, measurement cards, orders, bills and payments in one place — with receipts that print on A4 or 80 mm printers and online order tracking for customers. Built as a product that can be set up for other tailoring shops.

The challenge

The shop had run for years on an old MS Access desktop program. It worked, but it was starting to hold the business back:

  • Customers, suit measurements, waistcoat measurements and orders lived in separate places, so staff searched several screens to answer one question.
  • Measurements are written the way tailors write them — values like 23¼ noted in Urdu — and could not be "cleaned up" into plain numbers without losing meaning.
  • Customers phoned all day to ask whether their clothes were ready.
  • Bills were handwritten, and there was no simple view of what was still owed.
  • Years of history were spread across the main database and seven backup copies — and none of it could be lost.
Our approach

We built a web-based system around the way the shop already works.

  • Customers with fast search in Urdu or English, keeping their original customer numbers.
  • Measurement cards for shalwar kameez and waistcoats, stored exactly as written, with a printable measurement slip for the cutter.
  • Orders that move through a clear workflow — Pending → Cutting → Stitching → Ready → Delivered — with the cutter, stitcher and storage shelf recorded on each order.
  • Bills and payments with balances, receipts and CSV export; reports visible to the owner only.
  • Printing on A4 or an 80 mm receipt printer, or saved as PDF. Every bill carries a Track your order box.
  • Public website with offers and shop photos (responsive WebP images), plus online order tracking: customers enter their receipt number and see status, expected date and payment status.

Security was designed in from the start: Owner and Staff roles, hashed passwords (the old system stored them as plain text), lockout after repeated failed logins, CSRF protection and prepared statements. Order numbers carry a short check code, tracking shows only the customer's first name, and repeated wrong tracking attempts are blocked for a while.

The outcome
  • Every legacy record was migrated — customers, both kinds of measurement cards, orders, cutters and stitchers — including three orders that existed only in old backup files. The original Access files were only ever read, never modified.
  • Customer and order numbers stayed the same, so existing paper receipts still make sense.
  • Customers can now check their order status themselves, from any phone.
  • The owner has one place for orders, balances and reports, and staff only see what they need.
